1. Scope

This policy explains what personal information Sagaverse Studios LLC collects when you use sagaverse.co and our application, why we collect it, who we share it with, and the choices you have. We are based in Florida, USA.

By using the site or ordering from us, you agree to the handling described here. If you do not agree, please do not use the site.

2. What we collect

• ✦Account details — your name, email address, and password credentials when you register or sign in with a linked provider.
• ✦Order details — the items you bought, prices, discounts, tax and shipping amounts, invoice links, and order status.
• ✦Delivery details — the name, email, and shipping address you enter for a physical order. These are collected on the secure checkout page.
• ✦Payment confirmation — the fact and amount of a successful payment, the payment reference, and any refund. Card numbers are entered with our payment provider and are never stored on our systems.
• ✦Communications — quote requests, event and artist applications, support messages, and any files you choose to upload to us.
• ✦Newsletter — the email address you give when you subscribe, and the topics you are interested in.

3. How we use it

• ✦To process orders, take payment, produce and ship goods, and deliver digital downloads.
• ✦To issue invoices, quotes, and payment links for custom work, and to keep a record of what was agreed.
• ✦To send transactional email such as order confirmations, invoice notices, download links, and status updates.
• ✦To send newsletters and event news when you have subscribed. Every marketing email includes an unsubscribe link.
• ✦To run the business — accounting, fulfilment, fraud prevention, troubleshooting, and improving what we build.
• ✦To meet legal, tax, and accounting obligations.

4. Payment processing

Payments are processed by our payment provider (Base44 Payments). When you pay, your payment details go directly to the provider — we receive confirmation that a payment succeeded, the amount, and a reference, but never your full card number. Their own privacy policy governs how they handle your payment data.

5. Who we share with

We do not sell your personal information, and we do not rent or trade it. We share only what is needed with the service providers that run the store:

• ✦Payment processing, so a charge can be made and refunded.
• ✦Email delivery, for order, invoice, and newsletter messages.
• ✦Hosting and file storage, to run the site and hold your digital purchases.
• ✦Production and shipping partners, who receive the delivery name and address needed to fulfil a physical order.
• ✦Internal team notifications, so our staff know an order, quote, or application has come in.
• ✦Authorities or advisers where the law requires it, or where we need to establish or defend a legal claim.

6. Cookies and browser storage

We use the minimum needed to run the store: a session so you stay signed in, and browser storage for your cart while you shop. We do not run third-party advertising trackers or sell audience data. You can block or clear cookies in your browser settings, though parts of the site such as sign-in and checkout may stop working if you do.

7. How long we keep it

We keep order, invoice, and payment records for as long as tax and accounting rules require, and longer where we need them to resolve a dispute or honour a warranty. Account details stay until you ask us to close the account. Newsletter information stays until you unsubscribe. Uploaded files sent to us for a quote are deleted or archived once the quote is closed unless you ask us to keep them.

8. Your choices and rights

• ✦Correct anything inaccurate, such as a name or shipping address on your account.
• ✦Ask us to delete your account and the personal information we are not required to keep.
• ✦Unsubscribe from newsletters — use the link in any message, or email us and we will do it for you.
• ✦Object to a specific use, or ask a question about how your information is handled.

9. Children

Our store and account features are intended for people aged 13 and over. We do not knowingly collect personal information from children under 13. If you believe a child has given us their details, contact us and we will remove them. Event tables may be open to younger players when an event page says so, but the account and purchase must belong to an adult.

10. How we protect it

Access to customer records is limited to the team members who need it, and administrative access to our systems is restricted. Payment data is handled by our provider, not stored by us. No online system is perfectly secure, so please use a strong, unique password for your account.

11. Where your information is held

We operate from the United States and our service providers process data in the United States. If you contact us from elsewhere, your information is transferred to and handled in the United States.

12. Changes to this policy

If we change how we handle personal information we will update this page and its date. Material changes that affect your rights will be made clear on the site.
